Need/Challenge
Being extremely financially prudent, this company invested in an earlier version of the SharePoint platform and fully leveraged it for document management purposes. With the return on investment realized multiple times over and newer features being available in Microsoft 365 Modern SharePoint, it was time to move into the cloud.
In 2019, the organization’s leadership decided to make the leap and continue to realize an ROI with Microsoft. With the advent of digital workplace technologies such as Microsoft Teams, they investigated new ways to modernize their SharePoint and digital workplace environment and sought assistance to create a solid roadmap for the future.
Overview
We first engaged with the organization’s management team in November 2019. Their IT director sought expert support to handle their internal digital workplace efforts and plans for their SharePoint on-premise site. Our mission was to provide them with support in their current environment and create a plan to move off of SharePoint Foundation 2010 to SharePoint Online.
Initially, our responsibilities entailed completing Microsoft SharePoint projects and advising them on Microsoft solutions to improve their internal workflows, governance, and permissions. However, we quickly shifted into high gear to move to the cloud when COVID-19 started. They needed a plan to switch from the on-premise VPN to fully remote work. We collaborated with their team and audited all sites and content to map out the move. We started with one of the most complex solutions – Contracts and continued from there.
The dynamic changes and rapid growth within this renowned Biotech organization required ongoing reliable SharePoint, Microsoft 365, and Managed Services solutions.
Solutions
Given the dynamic nature of the business landscape with COVID-19, we decided to engage with the client through our Managed Services offering. This allowed us the flexibility to assist on the transition from SharePoint Foundation 2010 to SharePoint Online, provide governance assistance on the Microsoft 365 platform, break/fix support and strategy services. Through this engagement we were able to partner with the client to incrementally make progress and incur costs as opposed to a one-time large investment. This also provided the customer the flexibility to take on certain portions of the effort and truly be a partner in the project. The goal of our Managed Service plan is to ensure optimal workplace results, collaborations, and efficiency. Through our Managed Service agreement, we continue to optimize their current 2010 SharePoint server and set up everything for migration to occur into SharePoint Online. Within our Managed Services, we provided additional benefits, such as:
1. Weekly Engagement Meetings – Communicate and connect on any items or plans, discuss what’s working, any points of concern, and timeline updates.
2. Monthly Tech Talks with Q/A – Covers various topics around Microsoft 365, allows clients to ask questions about What New and Coming soon, and shows Admins how to implement modern digital workplace updates as they are rolled out.
3. Flexible Pricing Model – If you do not use all your managed service hours, don’t worry.We recognize that some months are more and less for others. We carry those hours over to the next month.
